The Delaware Zoological Society is currently seeking an experienced, enthusiastic, and dynamic individual to join our fast paced team as Membership Coordinator. The Membership Coordinator oversees all aspects of the membership process including solicitation, fulfillment, and renewal. Drawing upon a positive outlook and team orientation, the successful candidate will lead our efforts to maintain, improve, and perfect the members’ experience.

Reports to: Marketing & Special Events Manager, Delaware Zoological Society
Details: Part time, up to 30 hours per week.

Responsibilities and Duties

  • Enters all membership information into fundraising software and point of sale system
  • Maintains accurate and up to date records of members and donors
  • Oversees ADOPT program, including special holiday ADOPT program
  • Responds to customer queries about membership in a timely manner
  • Produces reports on membership results and retention
  • Prepares monthly membership renewal letters and list for email reminders
  • Books reservations for birthday parties at the zoo
  • Helps to coordinate annual membership party, including managing invitations and RSVP’s
  • Enters data into fundraising database for all donations, including Annual Fund, and prepares thank you letters, which are signed by the Executive Director
  • Fulfills requests for donations of memberships, guest passes, and gift baskets under the guidance of Marketing & Special Events Manager
  • Works with Marketing & Special Events Manager, Visitor Services Manager, and Executive Director to identify and resolve procedural issues by developing and implementing new protocols
  • Establishes and maintains positive and effective working relationships with all levels of DZS and Brandywine Zoo staff as well as diverse volunteers, donors, community partners, vendors and others
  • Assist at special events as needed
  • Other duties as assigned
Qualifications, Skills and Abilities
  • Minimum high school diploma. College degree preferred
  • At least 1 year of experience in membership department at a non-profit organization or comparable part-time experience required
  • Excellent written and oral communication skills required
  • Proficiency with email, Microsoft Office, fundraising, and Point of Sale software required. Experience with QuickBooks POS and DonorPerfect preferred
  • Must have valid driver’s license.
  • Demonstrated ability to work with individuals from a wide variety of ethnic, cultural and economic backgrounds
  • Excellent time management, organization, and independent judgement skills
  • Proven ability to take responsibility and problem solve in a proactive manner
  • Must be able to work outside and in a typical office setting, as necessary. Must be able to stand and/or sit for extended periods of time. Must be able to lift and carry up to 35 pounds
